Adding your order details in the Sys Prompt will not fix it, the assistant can always get lost easely if your prompt is too long/complex. Your best shot is to create the tool to pull the Data from your DB or Data source using Make or N8N or any automation tool you're conformatble with .. Then just create the tool in Vapi and call it in your system prompt and make sure you're returning the webhook response with toolcallID , that's a MUST..
